Key takeaways

  • Most of a video's quality is decided in pre-production.
  • Agree the message, audience and distribution before writing a script.
  • Plan versions for each platform at the start, not after editing.

Professional video looks effortless when it's done well, but it follows a structured process. Knowing the stages helps you prepare, give useful feedback and avoid expensive changes late in the project.

1. Brief and strategy

Everything starts with clarity:

  • Purpose: what should viewers think, feel or do afterwards?
  • Audience: who is watching, and what do they already know?
  • Distribution: website, social media, ads, events or sales meetings?
  • Formats: lengths and aspect ratios for each channel.
  • Budget and deadline.

2. Concept and script

The production team proposes a concept: interview-based, documentary, product demonstration, animated explainer or a mix. Once agreed, they write a script or interview plan. For interviews, questions are prepared but answers stay natural.

This is the best time for detailed feedback. Changing a script is quick; reshooting is not.

3. Pre-production

Planning the shoot:

  • Storyboards or shot lists
  • Locations and permissions
  • Scheduling people, crew and equipment
  • Props, wardrobe and set dressing
  • Release forms for everyone who appears

4. Production (the shoot)

Filming the planned shots, interviews and extra footage known as B-roll. Good crews capture more than needed so editing has options, and record clean sound alongside video.

5. Post-production

  • Editing: assembling the story, pacing and structure
  • Motion graphics and titles
  • Colour grading for a consistent look
  • Sound design and music, licensed for your intended use
  • Captions and subtitles

You'll typically review a first cut, then refined versions, within an agreed number of revision rounds.

6. Delivery

Final files in every format needed: horizontal for websites and YouTube, vertical for Reels and Stories, square for some feeds, plus shorter cut-downs for ads. Thumbnails and captions files complete the package.
